Privacy Policy

ProSwimCoach · Last updated: 27 October 2026

ProSwimCoach is an app for swimming clubs and for people who train on their own: in clubs, coaches plan sessions, take attendance and record times, and swimmers follow their sessions and their progress; people who train on their own get a training plan made by the app. This policy explains what data the app stores, what it is used for, and what rights you have over it.

The app is developed by PROCODERSPT, LDA, based in Olhão, Portugal. Contact for any privacy matter: procoderspt@gmail.com.

Who is responsible for the data

Each club that uses ProSwimCoach is the controller of its coaches’ and swimmers’ data: it is the club that creates their accounts and decides what to record. ProCodersPT processes that data on the club’s behalf, solely to make the app work.

A club can be registered in the app itself, by the person who becomes its administrator. People who train on their own also create their own account in the app, with no club behind them — and in that case ProCodersPT is responsible for their data.

What data we store

Times can be imported from a PDF file that the swimmer downloads from swimrankings.net; the app reads that file only to record the times, and does not keep it.

The app does not collect location, phone contacts, or card or other payment details, and does not use advertising identifiers. The only health data are the physical limitations that people who train on their own choose to mention, and they are used only so that the plan avoids the exercises that make them worse.

What we use the data for

Only to make the app work: to authenticate each person, to show each person what concerns them in their club, and to allow the coach to manage sessions and follow the swimmers. We do not use the data for advertising, we do not sell it and we do not build profiles for commercial purposes.

On what legal basis

Account, profile, sports activity, chat and subscription data are processed because they are needed to provide the service the club or the person signed up for (performance of a contract, Article 6(1)(b) GDPR). For a club’s athletes, it is the club that determines the legal basis on which it records their data.

The physical limitations given by people training on their own are health data, and are stored only with the person’s explicit consent (Article 9(2)(a) GDPR). Giving them is always optional, and consent can be withdrawn at any time: just remove them from the programme answers, and they are no longer stored.

What you send when reporting a problem is processed on the basis of our legitimate interest in fixing the app’s problems (Article 6(1)(f) GDPR).

Who sees the data

A club’s data is visible only within that club, according to each person’s role: swimmers see their own data and what is shared with the team (sessions, chat, club records); coaches see the swimmers assigned to them. Nobody from another club has access.

Club swimmers see each other’s best times in their own club’s ranking, with first name, surname initial, profile photo and age group. Outside the club, only those who choose to join the ranking appear, and they can leave at any time from the ranking itself: those who join show the same data, plus their club’s name, to everyone using the app, in clubs and solo. The age group is worked out from the date of birth, which never appears; and it must be entered to join. Outside the club, only those who agree appear, on the basis of that consent. Email addresses and other data never appear there.

The data is hosted by Supabase, on servers in the European Union (Ireland), which provides the database and storage service.

Subscriptions are bought on the App Store (Apple) or Google Play (Google), and tracked through RevenueCat. The app sends these services only a club identifier (people who train on their own have a club of their own) — never the name, the email or training data — and receives from them the purchase details: which plan, when it renews, whether it was cancelled. Payment is handled by the store itself, and the app never sees card details.

When you report a problem (in the app, under Settings → Report a problem, or on this site’s Report a problem page), what you write, any image you attach and any contact details you give are sent through Netlify, which hosts this site, and reach us by email. We use them only to fix the problem.

Apart from these services, the data is not shared with any other entity.

RevenueCat and Netlify are companies based in the United States. The data that reaches them leaves the European Union under the safeguards the GDPR provides for such transfers, such as the EU‑U.S. Data Privacy Framework or the standard contractual clauses approved by the European Commission.

Security

All communication between the app and the server is encrypted (HTTPS/TLS). Access to the data is controlled on the server, row by row, according to the club and the role of whoever is asking.

How long we keep it

Data is kept for as long as the account exists. When a club removes a swimmer, the account loses access; the club can choose to keep that swimmer’s times in the club records or delete them too. Chat messages can be deleted by the club administrator at any time.

Your rights

You can delete your account at any time in the app itself, under Profile → Settings → Delete account. Your name, email and photo are deleted and, for a swimmer, also their personal bests and training times, the notes they left on sessions, their votes and the text of the messages they wrote in the chat. What belongs to the club, such as the sessions, stays. Deleting the account does not cancel an App Store or Google Play subscription: that is cancelled in the store.

You can also ask at any time for access to your data, its correction or its deletion. Talk to your club, or write to procoderspt@gmail.com from the account’s email address — we reply within 30 days. You also have the right to lodge a complaint with the Portuguese data protection authority, the Comissão Nacional de Proteção de Dados (CNPD).

Children

A club’s swimmers may be under 18. Club swimmers’ accounts are created by the club, and it is the club’s responsibility to obtain consent from parents or guardians where the law requires it. Anyone who creates their own account in the app, to train on their own or to register a club, must be at least 13 years old (the age from which Portuguese law allows them to give consent on their own) or have the permission of their parents or guardians.

Changes

If this policy changes, the new version is published on this page, with the date of the update at the top.
